Job Description: Posted: October 3, 2018

General Description:  The Administrative Assistant is responsible for working with the Director of Operations and other members of the administrative team on assignments related the responsibilities of this position..  This assistant position is part-time requiring 30 hours per week. The Assistant Administrator is supervised by the Director of Operations.

Responsibilities: 

Support the management staff in managing and resolving operational issues as assigned. 

Maintain the administrative filing systems including but not limited to corporate documents, reports, and documentation for annual independent audits.

Assist the Operations Director subscriptions and ticket sales

Collect and post mail.

Record and prepare notes documenting decisions made at staff meetings.

Participate with the Marketing Associate on projects as assigned related to grassroots community marketing and the social media outlets, of Facebook, Twitter, You Tube and Vimeo.

Perform direct mail campaigns including scheduling and adhering to deadlines, and managing the copy writing and postage processes.

Make deposits of revenue received from the Director of Operations for validation. 

Order, store and organize all office supplies.

Engage in development projects as assigned, including: editing drafts of sections of proposals to foundations, corporations and public sector funding sources; acknowledging donations from individuals and supporting fundraising events.

Conduct other responsibilities as assigned.

Qualifications:

Proven experience as an administrative assistant, virtual assistant or office admin assistant.

Knowledge of office management systems and procedures.

Working knowledge of office equipment, like printers and fax machines.

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).

Excellent time management skills and the ability to prioritize work.

Attention to detail and problem solving skills.

Excellent written and verbal communication skills.

Strong organizational skills with the ability to multi-task.

High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
